All oral presentations will be required in PowerPoint format (PPT).
Please be sure to bring your presentation on USB key or CD. As a precaution, we suggest you email the presentation to yourself, so you are prepared if you happen to lose your USB key or CD.

Once you have picked up your badge at the registration desk, please go immediately to the Speakers Ready Room where you may download your PowerPoint presentation file and review its appearance on the computer screen.
At the latest, please provide your PowerPoint file 24 hours in advance of your presentation. This will ensure that all is ready for your presentation at the congress.
The Speakers ready room will be located in the room St-Pierre on the banquet level. This room will be open from Sunday through Friday. A technician will be present in the room to provide technical assistance to speakers, as needed.

30 minutes prior to the beginning of the session, all presentation files will be transferred to the individual session rooms.
The name of your session room will be confirmed in the final program, available on site or as a download from the website prior to the congress.
Should you arrive within the 30 minutes prior to the start of your session, immediately after the registration desk please head directly to the session room. See the technician at the back of the room to save your file on the local computer.
At least 15 minutes before the beginning of your session, please be present in the room where the session will take place in order to introduce yourself to the session chair(s) and to meet your fellow speakers.
The oral presentation rooms will be equipped with a data projector, a laptop computer, a podium and/or Lavaliere microphone, a confidence monitor and a laser pointer. The computers in the presentation room and speaker ready room will support PC based presentations.
A technician will also be available in each session room to ensure the presentations run smoothly.

Free wireless Internet access is available in all the meeting rooms at the Hilton Bonaventure hotel. Should you require internet access for your presentation, be sure to test the links before your session starts.
The Keynote presentations are scheduled for a 45 minute slot, which includes 35 minutes for the presentation and 5-7 minutes for Q&A, and some time for the chair to formally introduce you.
The Oral presentations are scheduled for 15 minutes, which includes 12 minutes for the presentation and 3 minutes for Q&A.
The presentations during the student oral completion are scheduled for 20 minutes, which includes 12 minutes for the presentation and 8 minutes for Q&A.
All speakers are encouraged to practice their presentations to ensure that the length does not exceed the time limit. The chair will serve to keep sessions on time and will provide feedback as your time limit approaches.
When answering questions, keep your answers short and to the point. Also, repeat the question if it was not projected clearly through the speaker system.
There will be two co-chairs for most sessions. They will open the session, introduce the speakers and guide the Q&A period. If there are any equipment malfunctions or other disruptions, the session co-chairs will guide you through the process. A technician will also be on site at all times.
As ICoMST 2012 is a sustainable event, we encourage all presenters to avoid paper handouts.
A dry run can be scheduled upon request. Requests should be addressed to the volunteer at the greeting desk inside the speaker ready room.
There will be several media personnel on site. If at all possible, a speaker will be notified ahead of time for a planned interview. However, you may be approached directly, and it is your prerogative to participate or not at that time.
We have biographies on file for the plenary speakers that will be used for introductions. In order for the session co-chairs to properly introduce the short oral and student oral presenters prior to your presentation, we kindly ask you to submit a 50-100-word biography to the Conference Secretariat at icomst2012@jpdl.com before Friday, July 20. If you have not provided a biography prior to your arrival onsite, please bring an electronic and/or printed copy on site.
